    Business works, you need to understand

    how it thinks. So, of course, Microsoft

    365 is a combination of various back-end
  • 00:02:09
    services. So dealing with email of
  • 00:02:12
    course is the work of Microsoft Exchange
  • 00:02:14
    online. Microsoft Teams is all the
  • 00:02:17
    communication. You've got Entra ID which
  • 00:02:19
    works with all the identity services and
  • 00:02:23
    authentication. And then you also have
  • 00:02:25
    additional services as well. Things like
  • 00:02:28
    the office apps, Microsoft Project,
  • 00:02:30
    Vizio, all the add-ons that you might
  • 00:02:33
    want. Now in terms of one drive for
  • 00:02:36
    business, these services are provided by
  • 00:02:39
    Sharepoint online and there are two
  • 00:02:41
    versions of SharePoint. There's a
  • 00:02:43
    version for individuals called one drive
  • 00:02:46
    for business and this is like your
  • 00:02:48
    personal storage and this can be
  • 00:02:50
    anything between 1 and 5 terabytes
  • 00:02:53
    depending on the license that you have.
  • 00:02:55
    SharePoint online on the other hand is
  • 00:02:58
    shared storage. So for example, groups
  • 00:03:01
    or teams can have a storage up to 25
  • 00:03:05
    terabytes in
  • 00:03:07
    size. Now when we talk about the
  • 00:03:09
    benefits of course you get the Microsoft
  • 00:03:12
    apps and they're always up to date. This
  • 00:03:14
    is what we call an evergreen service.
  • 00:03:17
    Now an evergreen service can be great.
  • 00:03:20
    It can have benefits but it can also
  • 00:03:22
    have disadvantages as well in that you
  • 00:03:25
    have to keep your skills up to date. But
  • 00:03:28
    it also provides an optimized experience
  • 00:03:31
    irrespective of the device that you're
  • 00:03:33
    using. And the most important thing is
  • 00:03:36
    with the paid services, you're actually
  • 00:03:38
    getting a reliable service with what we
  • 00:03:41
    call a service level agreement, which
  • 00:03:44
    means that there
  • 00:03:47
    99.99% uptime guaranteed. And if there
  • 00:03:50
    is any downtime, Microsoft will of
  • 00:03:53
    course compensate you accordingly.

    Now, in terms of um understanding where
  • 00:03:59
    your data is stored, it's stored in a
  • 00:04:02
    building that looks not unlike this one.
  • 00:04:04
    This is actually the Dublin data center
  • 00:04:06
    in Ireland. And these are dispersed
  • 00:04:09
    throughout the world. Normally, they're
  • 00:04:11
    built in uh with a sister or a brother
  • 00:04:14
    data center. So, in other words, when
  • 00:04:17
    your data is stored, it's pretty much
  • 00:04:19
    matched with a data center nearby. So
  • 00:04:23
    for example, there are two data centers
  • 00:04:25
    in the UK, two in Germany, two in
  • 00:04:28
    Norway, multiple in America, multiple
  • 00:04:31
    ones in China, and so on. Um, which
  • 00:04:35
    means that if one data center happen to
  • 00:04:37
    fail, of course, then you're not going
  • 00:04:40
    to lose your data. But how does the data
  • 00:04:43
    work within the data center? Well, of
  • 00:04:46
    course, um, like all data centers, they
  • 00:04:49
    need electricity. And most of these data
  • 00:04:52
    centers will have two electricity
  • 00:04:55
    providers for redundancy as well as a
  • 00:04:58
    uninterruptible power supply. They will
  • 00:05:01
    have chilling units to keep the
  • 00:05:03
    equipment cool. Um they will have vast
  • 00:05:07
    numbers of generators. They have two g
  • 00:05:10
    diesel generators that cost around 6 to7
  • 00:05:13
    million pounds each in each data center
  • 00:05:16
    just in case there was a failure. But
  • 00:05:19
    the chances of a data center going down
  • 00:05:22
    is extremely rare. So of course you need
  • 00:05:26
    to think about what service plans and
  • 00:05:28
    this is important because depending on
  • 00:05:31
    the plan it will determine what uh
  • 00:05:35
    elements of Microsoft 365 and how much
  • 00:05:38
    storage you will actually get. So
  • 00:05:41
    typically we have SKs. So for example,
  • 00:05:44
    business premium, enterprise E3, E5 and
  • 00:05:48
    so on. Then you have plans. So for
  • 00:05:51
    example, SharePoint online for
  • 00:05:53
    enterprise might give you more storage
  • 00:05:56
    than SharePoint online for business. Um,
  • 00:05:59
    we typically have P1 and P2 plans for
  • 00:06:02
    these. And then of course underneath we
  • 00:06:05
    have the various services there as well.
  • 00:06:08
    Now in terms of administration of course
  • 00:06:11
    we have endusers and we also have
  • 00:06:14
    administrators as well. So we have
  • 00:06:16
    Microsoft 365 portals. So for example
  • 00:06:20
    SharePoint email when you sign in you
  • 00:06:23
    sign in with your identity portal and so
  • 00:06:25
    on. We have tenant administrators. So
  • 00:06:28
    tenant means that your data is is almost
  • 00:06:31
    like in a hotel. Think of it like a
  • 00:06:34
    hotel and so somebody is managing all of
  • 00:06:36
    this for you. And as long as you pay
  • 00:06:38
    your subscription or your bill at the
  • 00:06:40
    end of the month, then you're fine. Your
  • 00:06:42
    data can remain there. Alternatively, of
  • 00:06:45
    course, it can be like your data is like
  • 00:06:48
    your house. So, you are responsible for
  • 00:06:52
    maintaining everything in your house,
  • 00:06:54
    all the services, all the infrastructure
  • 00:06:57
    and so
  • 00:06:58
    on. So, how does Microsoft keep your
  • 00:07:01
    data safe when it comes to one drive for
  • 00:07:03
    business? And this is super important.
  • 00:07:06
    So the big question is, do I need a
  • 00:07:09
    backup to back up my one drive data?
  • 00:07:13
    Well, uh, legally, yes. Depending on the
  • 00:07:17
    business that you're in, you may require
  • 00:07:20
    a legal backup. But just to show you how
  • 00:07:23
    data is backed up into the cloud, here
  • 00:07:26
    am I. I'm on my laptop here, and I'm
  • 00:07:28
    using One Drive. So when I save a file,
  • 00:07:32
    it uses what we call a a unique sequence
  • 00:07:35
    number and a datetime stamp. So in
  • 00:07:39
    essence, if you've got multiple devices
  • 00:07:42
    and the sequence number or the datetime
  • 00:07:45
    stamp changes is it forces a
  • 00:07:48
    replication. That data is replicated to
  • 00:07:51
    a disk on a disk array in the data
  • 00:07:54
    center. Now that array is mirrored. So
  • 00:07:58
    that means that it's copied to a second
  • 00:08:02
    disk in that array and that array is
  • 00:08:07
    then copied to a second rack in the same
  • 00:08:10
    data center and this uses something
  • 00:08:13
    called synchronous mirroring which means
  • 00:08:15
    that your data is constantly in sync.

    Now I mentioned the sister data center.

    So let's say for example this was Dublin
  • 00:08:25
    the Dublin data center. Well, this data
  • 00:08:28
    center is synchronized to Amsterdam. So
  • 00:08:31
    again at asynchronous so you know at
  • 00:08:35
    regular intervals all of that data and
  • 00:08:38
    its logs are shipped to a sister data
  • 00:08:41
    center. Now in between of course there
  • 00:08:45
    are regular backups within the data
  • 00:08:47
    center that Microsoft take care of on
  • 00:08:50
    your behalf. And in addition, of course,
  • 00:08:54
    we have what we call synchronous
  • 00:08:56
    transactions. So things like um
  • 00:08:59
    scheduled backups, we also have point in
  • 00:09:02
    time restores. And I'll show you that uh
  • 00:09:05
    shortly. So the fact is that your data
  • 00:09:09
    there are at least at least 10 copies of
  • 00:09:13
    your data in a Microsoft data center
  • 00:09:17
    infrastructure. Okay. So let's look at
  • 00:09:19
    the basics in Microsoft 365 for one
  • 00:09:22
    drive for business. So you can access
  • 00:09:24
    one drive for business in a number of
  • 00:09:26
    ways. As you can see there is an icon on
  • 00:09:28
    the left hand side here. But you can
  • 00:09:31
    also see you there's a quick access pane
  • 00:09:34
    down below. So any documents that you've
  • 00:09:36
    been working on recently will always
  • 00:09:38
    appear here and you can filter those.
  • 00:09:41
    You can see them all recently opened.

    anything that's shared by you, anything
  • 00:09:46
    that you've tagged as a favorite, but

    you can also add in additional filters

    here as well. Please note, you can also

    upload documents here as well. And you

    can also change the view. So, you can

    see I've got a list view here, but you

    And depending on your permissions, you

    So, as well as viewing that, um, I'm

    Drive. Now, I'm often asked, what's the

    difference, Andy, between One Drive and

    One Drive for Business and Sharepoint?

    Well, actually, they're all stored in
  • 00:10:30
    the same platform. The technology is the
  • 00:10:33
    same. It's sharepoint services
  • 00:10:36
    essentially, but there are differences.
  • 00:10:39
    So first of all, One Drive is One Drive
  • 00:10:42
    personal. It's a personal account. So if
  • 00:10:45
    you've gone to
  • 00:10:46
    onerive.com and you've created a free
  • 00:10:49
    account, then you can have your own
  • 00:10:52
    personal storage as part of a company.
  • 00:10:55
    However, if you have a subscription to
  • 00:10:57
    Microsoft 365, you will get Microsoft
  • 00:11:01
    One Drive for Business. And the
  • 00:11:03
    difference here is that you don't get
  • 00:11:05
    any advertising. And also um you you've
  • 00:11:09
    got the same features but you get more
  • 00:11:11
    storage. So out of the box you'll get a
  • 00:11:15
    minimum of 1 TBTE of storage um but it
  • 00:11:18
    can be as much as 5 TB and perhaps even
  • 00:11:22
    more depending on your license. So here
  • 00:11:24
    in the main interface we can see that we
  • 00:11:27
    can view any documents that we've
  • 00:11:30
    recently been working on here. And just
  • 00:11:32
    to show you the interface here, I can go
  • 00:11:35
    and I can add in a new. And when I click
  • 00:11:37
    on add new, I can bring in a folder. I
  • 00:11:40
    can upload files. So multi, you can you
  • 00:11:44
    don't need to upload files one by one.

    By the way, you can drag an entire

    folder full of files or multiple files

    from your Windows or in this case I'm

    using a Mac.

    new word document, excel, powerpoint and

    so on. You can do all of that from

    between home and my files? Well, home is

    basically it could be a combination of

    any files that's been shared with you or

    any of your own files. Whereas if you

    click on my files, you'll see that this

    list is more extensive and this is
  • 00:12:47
    essentially your home
  • 00:12:49
    folder. So what else do we see here?

    Well, in my files, you can see again a
  • 00:12:55
    little filter, anything that's been
  • 00:12:57
    shared with you, any favorites that you
  • 00:13:00
    might have been marked, and we also have
  • 00:13:03
    something called the recycle bin here as
  • 00:13:05
    well. So, if I come up to my files then,
  • 00:13:09
    and if I float my mouse pointer over
  • 00:13:12
    this, you'll see that a little menu
  • 00:13:15
    appears. And depending on the type of
  • 00:13:18
    document that you've got, you may get a
  • 00:13:21
    little preview of the document as well.

    Now, you can also see we have an

    ellipse. So, the three dots and this

    will give you access to the uh menu here

    as well. And you can see that you've got

    a selection of various options here.

    Once you've selected a document or

    documents, you can also rightclick it

    mentioned the favorite. So, anything
