- 00:00:25about ilo's ECM suet suit the foundation

- 00:01:13the Elms with the foundation for your
- 00:01:17digital future so let's have a look
- 00:01:20which topics we will
- 00:01:23cover first thing what we will have a
- 00:01:25look at is information created in a
- 00:01:29company so in a company during the day
- 00:01:31information is created um which
- 00:01:34information is created and how to how to
- 00:01:38um where the document uh where the
- 00:01:39documents and information is filed and
- 00:01:41so on then uh we'll have a look why you
- 00:01:45should use an ECM for this um to find
- 00:01:49your documents and information
- 00:01:50afterwards as well then I'll show you
- 00:01:54the core features of the elm Suite which
- 00:01:58we will then see in the live demo and
- 00:02:02afterwards I will show you what's
- 00:02:05possible with the elm written besides
- 00:02:09the core features what you can do uh how
- 00:02:13you can add more functionality to
- 00:02:16it then we'll um have a look why the
- 00:02:20Elms which is the foundation for your
- 00:02:23digital
- 00:02:24future and in the end we'll have a
- 00:02:26conclusion and time for your questions
- 00:02:29and answers and as mentioned if you have
- 00:02:33some questions during the webinar just
- 00:02:35ask them in the questions box and then
- 00:02:39we will answer them in the
- 00:02:43end so every day a lot of information is
- 00:02:47created in a company not only
- 00:02:49information and documents uh but for
- 00:02:52example emails um someone writes
- 00:02:54something or you make phone calls you
- 00:02:57take notes and so on and in fact
- 00:03:00uh documents and information created a
- 00:03:05year is
- 00:03:06increasing
- 00:03:08worldwide uh so in 2021 we had 79 seta
- 00:03:13byes of information and documents and in
- 00:03:162025 we will have more than double
- 00:03:21181
- 00:03:23setes just in case you don't know what a
- 00:03:26sety is a sette equals trillion 99 Bill
- 00:03:32511 mil 627
- 00:03:36776 terabytes so that's a huge amount of
- 00:03:39information and document which isn't
- 00:03:42honestly created in one company but
- 00:03:44worldwide uh but that's a huge amount of
- 00:03:46of information and if we wanted to store
- 00:03:51it on hard disks with one terabyte which
- 00:03:55has this size um and we would
- 00:04:01make a stack of the hard diss with one
- 00:04:04terabyte this would be a stack with the
- 00:04:06hate of 14,000
- 00:04:08kilm which
- 00:04:10equals nearly the diameter of the earth
- 00:04:14which I think is 12,000 something so
- 00:04:18that's only one CTE a stack of hard dis
- 00:04:22with one terabyte which has an he of
- 00:04:2514,000
- 00:04:28kilm if we'll have have a look on the
- 00:04:31181 cytes which we will create in this
- 00:04:35year then it would breach from the Sun
- 00:04:39to Uranus so that's a huge pile uh stack
- 00:04:44of hard diss with one terabyte but
- 00:04:46honestly we don't store it in one
- 00:04:48terabyte hard Diss and they are all over
- 00:04:52the world but the thing is um the
- 00:04:56information created in the company gets
- 00:04:58more and more every year uh because we
- 00:05:02have emails we have documents we have
- 00:05:04information we have an e we have a CRM
- 00:05:07with everything uh and the information
- 00:05:10created in the company is filed
- 00:05:13somewhere so for example when we're
- 00:05:15looking for a specific information we
- 00:05:17want to have an information on this
- 00:05:20specific order number
- 00:05:21[Music]
- 00:05:2321377 then we may find some documents
- 00:05:26when they are filed in the traditional
- 00:05:28way so we find an order document we find
- 00:05:30maybe an invoice and we find some emails
- 00:05:35which well fits maybe
- 00:05:38but how much
- 00:05:40information do we not find because it's
- 00:05:44filed somewhere where we don't have
- 00:05:46access to it or someone has an email in
- 00:05:49his inbox which he or she didn't share
- 00:05:52with others so this information we will
- 00:05:55never see because we don't have access
- 00:05:58to it and it's not possible to exit
- 00:06:00accesses access it in any
- 00:06:03way so this we don't find when we're
- 00:06:07looking for documents on this specific
- 00:06:10order number and in fact employees spend
- 00:06:1333 hours per month for searching and uh
- 00:06:18gathering information so 33 hours that's
- 00:06:22a huge amount of time uh which could be
- 00:06:25used for more important things uh but we
- 00:06:29can't cuz we have to spend the time for
- 00:06:32searching our documents for this
- 00:06:34specific order
- 00:06:36number and
- 00:06:387.5% of the information and documents
- 00:06:41will never be found again because it's
- 00:06:43not stored it gets deleted accidentally
- 00:06:46the file is not searchable it's not
- 00:06:48filed correctly or we don't know where
- 00:06:51it is filed or we don't have access to
- 00:06:52it or whatever so that's a huge amount
- 00:06:57but how can we make it possible to find
- 00:07:01this information well that's one of the
- 00:07:04reason why you should use an ECM to know
- 00:07:07where the information and the documents
- 00:07:10is filed and to have them when you need
- 00:07:13them without spending 33 hours to find
- 00:07:17it so an ECM makes it possible to file
- 00:07:22everything in the central
- 00:07:24repository when we have a look at the
- 00:07:26normal company who have different
- 00:07:27departments and they file the document
- 00:07:29doents in their own spaces the sales
- 00:07:32department files it on the local
- 00:07:34notebooks a marketing department has its
- 00:07:37own file share somewhere in the
- 00:07:38marketing department the finance
- 00:07:40department and the and and research and
- 00:07:42development file it on a on a file share
- 00:07:45in the network and HR has a specific
- 00:07:47filing location because it's HR data and
- 00:07:50no one else should have access to
- 00:07:53it with an ECM you have everything in
- 00:07:56the central repository everyone
- 00:07:59every Department can file the documents
- 00:08:02there and thanks to permissions you can
- 00:08:05make sure that only a specific
- 00:08:08department has access to the data and
- 00:08:11the information and the documents which
- 00:08:13is filed there but when you're looking
- 00:08:16for something then you know okay I have
- 00:08:19to look for my documents and information
- 00:08:22in the central repository because
- 00:08:24everyone's filing the things there
- 00:08:29we can file our documents with metadata
- 00:08:32metadata is something which defines the
- 00:08:36document a little bit more in detail so
- 00:08:39when we're filing a document then we can
- 00:08:42give it some metadata which defines the
- 00:08:45document type in our case it's an order
- 00:08:47document uh then we have a short name
- 00:08:50the date when the document is filed the
- 00:08:53order number the customer the custom
- 00:08:55customer number information which we
- 00:08:58need for this document and if the
- 00:09:00document wouldn't be an order document
- 00:09:01but an invoice then it would have other
- 00:09:05metadata for what do we need those
- 00:09:07metadata and where do we get them well
- 00:09:10um the metadata can be filled out
- 00:09:13automatically by um reading out the
- 00:09:16information from the document for
- 00:09:18example with artificial intelligence or
- 00:09:21we can have an interface to an existing
- 00:09:24Eep CRM or whatever where we get the
- 00:09:27metadata or when we file the document in
- 00:09:30a specific location in our repository
- 00:09:33then the metadata um is filtered
- 00:09:35automatically as well so why do we need
- 00:09:39the metadata filing them in the correct
- 00:09:41location for one thing the other thing
- 00:09:43is to find the documents much faster
- 00:09:46because afterwards we can make a search
- 00:09:49and look for document type order
- 00:09:51document and I will get all the Order
- 00:09:53documents which is filed in the
- 00:09:55repository as long as I have the
- 00:09:58permissions for it to see them and to
- 00:10:00find them so metadata for filing in the
- 00:10:03correct location filled out in the best
- 00:10:05case automatically and is used for uh
- 00:10:08finding the documents
- 00:10:12afterwards you can streamline an
- 00:10:14automate processes you can use a
- 00:10:16workflow for sending a notification to
- 00:10:20other users or groups or to get get an
- 00:10:23approval for a document with the
- 00:10:25workflow and afterwards you can say who
- 00:10:28has done what with the document um did
- 00:10:31they get the notification and did they
- 00:10:33uh say okay I read the document or did
- 00:10:36someone approve the document for
- 00:10:41um during the workflow so the processes
- 00:10:46get done get done much faster because
- 00:10:49everyone has his or her task section and
- 00:10:52then we can do our tasks and we can say
- 00:10:54afterwards okay we have an approved
- 00:10:56document we get the notification
- 00:10:58automatically and we know where our
- 00:11:00documents are because when you send the
- 00:11:02document in as a paper through the comp
- 00:11:05company you don't know where it is so
- 00:11:08streamline and automate processes with
- 00:11:10the built-in workflow as
- 00:11:14well and it's a secure filing location
- 00:11:18cuz it isn't so easy to access the
- 00:11:20central repository as long as you don't
- 00:11:23have a user for this so you need a user
- 00:11:26and user credentials which we normally
- 00:11:28use the the windows credentials or the
- 00:11:31the existing credentials in the company
- 00:11:34and then you can access the repository
- 00:11:35and if you don't have it then you can't
- 00:11:38access it and so it's a secure filing
- 00:11:41location for your documents and your
- 00:11:43information when you're not allowed to
- 00:11:46access the repository then you
- 00:11:49can't so those are some reasons why you
- 00:11:52should use an ECM and well when we'll
- 00:11:55have a look to the elcm SU
- 00:12:00uh then yes we can do all those things
- 00:12:03with the elm Suite you can capture
- 00:12:06documents and information you can file
- 00:12:08them in a central repository you can
- 00:12:11search and retrieve the documents
- 00:12:12without spending 33 hours for this you
- 00:12:15can streamline and automate the
- 00:12:17processes you can simplify collaborate
- 00:12:20collaboration uh through the document
- 00:12:22feed feed which we will see afterwards
- 00:12:25it's a secure filing location and you
- 00:12:27can automate the tasks and processing so
- 00:12:30you can for example um create a rule
- 00:12:33when a specific document type is filed
- 00:12:35then you can start the task for this or
- 00:12:38you can process the document with other
- 00:12:40tools um for example you can you can
- 00:12:43share it in different formats as well um
- 00:12:45so you can do many things with the core
- 00:12:48features of the uecm suite that's
- 00:12:51everything core features uh what what
- 00:12:54you can see here and well how it works
- 00:12:59we will have a look on right
- 00:13:03now so this is our environment here and
- 00:13:09um we have different clients to access
- 00:13:11to the repository we have a rich client
- 00:13:15we have a web client and we have a
- 00:13:17desktop client and we have some other
- 00:13:18clients as well that you are able to
- 00:13:22access the
- 00:13:23repositor every client looks pretty the
- 00:13:27same um so so when we'll have a look on
- 00:13:30our Bridge client then you can see the
- 00:13:33start screen where
- 00:13:35you are brought to when you start up
- 00:13:38your client and on the left we have our
- 00:13:40tiles for the different sections and
- 00:13:43functions of our repository for example
- 00:13:47this is our repository itself this is
- 00:13:50when you're looking for for some
- 00:13:52documents and the task section is when
- 00:13:55you receive a task uh from a workflow
- 00:14:00to access the repository you just click
- 00:14:03on the tile or to access a function you
- 00:14:05just click on the tile and you get
- 00:14:07problem and here you see the myo section
- 00:14:10which gives you the news what has
- 00:14:12happened to my documents um or um did I
- 00:14:16get mentioned in a document feed or
- 00:14:18something else or you can access the
- 00:14:21most recently used documents here with
- 00:14:24the
- 00:14:25list so that's the start screen and if
- 00:14:28we want to to access the repository we
- 00:14:30click on the tile for the repository and
- 00:14:33then we're brought to our structure the
- 00:14:36documents and information is filed in a
- 00:14:39structured way so we have folders in
- 00:14:43here and somewhere there should be a
- 00:14:47document in the folder structure for
- 00:14:49example this document the project
- 00:14:52initiation for the project akme
- 00:14:55LLC and then we can preview the document
- 00:14:59in the client
- 00:15:01itself and that's the preview of the um
- 00:15:06PDF in this case and we can go through
- 00:15:09the
- 00:15:10document and on the right side we see
- 00:15:13the document feed which is filled out
- 00:15:17automatically in this case Charlotte
- 00:15:19bannet has filed a new document this is
- 00:15:22version one on January 15th this year
- 00:15:27and we could leave a comment in here or
- 00:15:29we could create a post by ourselves as
- 00:15:32well uh for example we can ask a
- 00:15:34question by mentioning Charlotte
- 00:15:42Bennett is this the final
- 00:15:48version then we create the post and now
- 00:15:52shot Bennett will get the notification
- 00:15:54that someone has mentioned her in a in a
- 00:15:57post and then she can reply to this post
- 00:16:01as well so that's how we can collaborate
- 00:16:04with the document feed with the document
- 00:16:07itself we can do some things as well not
- 00:16:10only previewing it we could open it in
- 00:16:13readonly mode so then in this case uh
- 00:16:17the PDF reader which is um available on
- 00:16:23my computer will be opened with this
- 00:16:25document uh or we could check it out and
- 00:16:28edit it uh then the document well I
- 00:16:32can't edit a PDF document on this
- 00:16:34computer but if we could then it would
- 00:16:36be opened in edit mode in the preview we
- 00:16:40can leave some notes as well for example
- 00:16:43here we can leave a
- 00:16:45note which doesn't change anything with
- 00:16:48the document it's just a note a sticky
- 00:16:50note which is available in the preview
- 00:16:53on the client and if we open it up in
- 00:16:56the PDF reader which we have then the
- 00:16:58sticky notes AR
- 00:16:59available um then we
- 00:17:03can ask something or change the color
- 00:17:07something like this so that's what we
- 00:17:10can do in the preview um if we want to
- 00:17:15open it
- 00:17:16in uh read only mode then we have when
- 00:17:20then we can click here and then the
- 00:17:22document opens up in read only mode and
- 00:17:24that's how we could see it in our PDF
- 00:17:27reader in this case it opens it up in
- 00:17:30the browser so the sticky note isn't
- 00:17:32here it's just available in the preview
- 00:17:35pane of the
- 00:17:40client so that's our filing structure in
- 00:17:45um the repository who defines the filing
- 00:17:49structure the filing structure or the
- 00:17:51structure how the documents and
- 00:17:53information is filed in the repository
- 00:17:56is done together with the customer so
- 00:17:58when you have existing structures then
- 00:18:01you can reuse them in the repository as
- 00:18:04well so everyone uh will then know where
- 00:18:08to find documents and information and
- 00:18:11you can use different structures so for
- 00:18:13example we have here the project
- 00:18:15structure with some subfolders with the
- 00:18:17year of the project but when we go on
- 00:18:20the marketing um folder then you can see
- 00:18:24that they have a different structure in
- 00:18:25here as well and Company organization is
- 00:18:28a different structure as well so
- 00:18:31structure is defined together with um
- 00:18:35the customer and uh every document as I
- 00:18:39said earlier is filed with metadata
- 00:18:43information uh which can be uh filled
- 00:18:47out automatically or
- 00:18:49manually depends on the configuration of
- 00:18:52the repository and to access the
- 00:18:54metadata we can click on the
- 00:18:57metadata um here in the in the in the
- 00:19:00menu and then we can then the metadata
- 00:19:03form opens and then we can see that we
- 00:19:06have on the left side different document
- 00:19:10types in this case it's filed as a
- 00:19:13document with this information with the
- 00:19:15short name the date when the document
- 00:19:18was created the filing date of the
- 00:19:20document those information uh is filled
- 00:19:24out automatically what's the version of
- 00:19:26the document and who was the initial
- 00:19:30editor of this
- 00:19:33document and the
- 00:19:36metadata is defined when filing the the
- 00:19:40document in my case because it's in the
- 00:19:43company and
- 00:19:45organization uh folder I can't change
- 00:19:49the metadata information because I don't
- 00:19:52have the permissions for this in this
- 00:19:55specific folder in here but you can see
- 00:19:57here we have different
- 00:19:59um document types defined which we can
- 00:20:02which we will see later so that's the
- 00:20:05metadata information in this case with
- 00:20:09this metadata information I think no one
- 00:20:11has filled out something because the
- 00:20:13short name is normally did file name
- 00:20:16this state is filtered automatically and
- 00:20:18this state is filtered automatically as
- 00:20:20well and honestly it fits because uh
- 00:20:24when filing a document like this um it's
- 00:20:28a
- 00:20:29PDF um then my environment is configured
- 00:20:33like this every document which is filed
- 00:20:36in the repository um is analyzed with an
- 00:20:39OCR and then you have the full text
- 00:20:42information uh available for the search
- 00:20:45as well so no need to fill out so much
- 00:20:48metadata because you have the full text
- 00:20:50information in here as well so that's
- 00:20:53the repository structure of our uh of
- 00:20:57the elm
- 00:20:59it when we want to find a document where
- 00:21:03we don't know where it is uh filed so
- 00:21:07somewhere in the repository then we can
- 00:21:09use the search for this as well so let's
- 00:21:12say I'm looking for a document uh which
- 00:21:15is necessary for the project egme LLC
- 00:21:19then I go to the search tile that's the
- 00:21:25search in the lism with well pretty the
- 00:21:28easy you have a field where you can
- 00:21:30enter your search term and then we can
- 00:21:32type in Project a me LLC for example and
- 00:21:38then I click on refresh search and then
- 00:21:40it starts searching my documents and I
- 00:21:42get the result of three documents in
- 00:21:45this case it's an Exel um but that's not
- 00:21:50the thing what I'm looking for that's
- 00:21:51another Exel I'm looking for this PDF if
- 00:21:55you have a result uh which is more three
- 00:21:59uh then you can set more filters for
- 00:22:02example we could set the entry type well
- 00:22:06let's say it's a PDF then we only will
- 00:22:08get the PDF we can um set a filter for
- 00:22:13the date when I know the exact date or
- 00:22:16when I know well this document has to be
- 00:22:18filed the last 10 days 30 days 3 months
- 00:22:22or something um or we know the range
- 00:22:25when the document is filed then we can
- 00:22:28um Define it here as well as a filter we
- 00:22:30can say who has filed the document and
- 00:22:33we can uh set the filter for the
- 00:22:36metadata form as well so that's how the
- 00:22:40search works and when we want to know
- 00:22:43where the document is located then we
- 00:22:45can make a right click on this and then
- 00:22:47we can say go to and then we will
- 00:22:49brought to the document in the
- 00:22:53repository so that's how the search
- 00:22:56works with a search term with different
- 00:23:00different filters um and with the
- 00:23:03possibility to be brought to the correct
- 00:23:05location in the
- 00:23:07repository the thing is um when you're
- 00:23:11not allowed to see something so we can
- 00:23:14set permissions on folders and documents
- 00:23:17sure uh and when you're not allowed to
- 00:23:19see something then you won't find it in
- 00:23:22the search so I don't have if I wouldn't
- 00:23:25have permissions for this document then
- 00:23:27I wouldn't find it
- 00:23:29so that's that's the search now we'll
- 00:23:32have a look on how to file the documents
- 00:23:35in the
- 00:23:38repository so let's say we
- 00:23:42uh we have created a Word document and
- 00:23:45we want to file it in the repository

- 00:23:54documentation um on a project
- 00:23:57implementation of the D LM with at
- 00:23:59Morgan Echo LLC project managers Adrien
- 00:24:02Smith so F filled it out already and
- 00:24:05that's the project documentation and I
- 00:24:07haven't saved it yet um so now I want to
- 00:24:12save it or no not I want to save it I
- 00:24:14want to file it directly in the
- 00:24:17repository in such cases I could file it
- 00:24:20with drag and drop that's sure uh but in
- 00:24:24such uh in in this case uh cu it's
- 00:24:29written in Microsoft Word I can use the
- 00:24:33so-called ELO desktop client the ELO
- 00:24:35desktop client is a client which is on
- 00:24:38the side of my
- 00:24:41desktop and which has tiles as well so I
- 00:24:44could access the repository from here um
- 00:24:47I can go through the documents the same
- 00:24:50as I can do in the rich client the
- 00:24:52difference is the desktop client is on
- 00:24:55the side of my desktop and when I don't
- 00:24:58want to use it then I can just make it
- 00:25:01like this and then it's not here anymore
- 00:25:04if I want to use it then I can do it
- 00:25:06like this so I want to file this
- 00:25:09specific document in the repository I
- 00:25:12know where to file it um so can be done
- 00:25:16with the desktop client by selecting the
- 00:25:18desktop section of the desktop client
- 00:25:21and the desktop client knows okay
- 00:25:23there's a Word document
- 00:25:25opened and then I can say okay move to
- 00:25:30ELO I have to find the correct location
- 00:25:35for this in this case cono cono cor
- 00:25:39project uh 2025
- 00:25:42p0160 2025 Morgan letc that's the
- 00:25:46correct location uh for the document
- 00:25:49could create the sub folder as well in
- 00:25:51here so let's say we'll make a new
- 00:25:54folder which is called documentation
- 00:25:59then I click okay and when I want to
- 00:26:02file it I click a second time
- 00:26:05okay and then you get a message like
- 00:26:09this okay sorry for
- 00:26:12this so and then the metadata form opens
- 00:26:16metadata form describes the document a
- 00:26:18little bit more in detail so we want to
- 00:26:21file it as a
- 00:26:23document and we give it a short name uh
- 00:26:27project
- 00:26:29documentation Morgan Echo
- 00:26:33LLC uh the date is set automatically and
- 00:26:38the filing date is set automatically and
- 00:26:41I can't change it and then I click okay
- 00:26:43and then the document is filed so that's
- 00:26:47how easy it is to file a document just
- 00:26:49by using the desktop client and then you
- 00:26:51can use uh um the built-in function for
- 00:26:56filing a document and and how can I know
- 00:27:00that the document is filed now we see
- 00:27:03the document feed do you see that the
- 00:27:05document was filed a few seconds ago by
- 00:27:07Jessica Davis and it's version one now I
- 00:27:11can close my document uh and then it's
- 00:27:14fil there but I want to review no I want
- 00:27:19Sean Roberts to review the document so I
- 00:27:22can send him
- 00:27:25a message in the document
- 00:27:30feed and at and add a comment please
- 00:27:35review the document I
- 00:27:39created then I say create and then um
- 00:27:43Sean Roberts will receive a notification
- 00:27:45that he was mentioned in the document
- 00:27:48feed which we can see in his
- 00:27:52client go back to Sean Roberts to
- 00:27:55refresh this
- 00:27:58no it's Adrian Smith I'm the wrong user

- 00:28:20who should review the documents uh but

- 00:28:30mentioned uh me in a uh in a in the
- 00:28:35document feed and if I want to get to
- 00:28:38the document I don't have to search I
- 00:28:40don't have to go through uh the um um
- 00:28:45filing structure no I can just click on
- 00:28:48the document name and then we can see
- 00:28:51the in the preview the project
- 00:28:54documentation that's one thing another
- 00:28:57thing what we can do we can start a
- 00:28:59workflow uh with this document uh we
- 00:29:04can
- 00:29:05[Music]
- 00:29:08um I'm looking for this we can use the
- 00:29:11build
- 00:29:14in uh search for this as well so we can
- 00:29:17start an ad hoc workflow an ad hog
- 00:29:20workflow is a workflow where we don't
- 00:29:22need a a workflow template so two
- 00:29:25different possibilities a workflow
- 00:29:27template is for more complex workflows
- 00:29:30but the out hog workflow is for um
- 00:29:34workflows like this I want someone to
- 00:29:37approve my document so in this case with
- 00:29:39the adhoc workflow we can choose between
- 00:29:42serial approval so when you have more
- 00:29:44than one user one after another uh gets
- 00:29:47the task so when the first one has
- 00:29:48finished then the next one will get it
- 00:29:51and when every user has finished then I
- 00:29:53will get the notification that the
- 00:29:55document is
- 00:29:57approved in a parallel approval every
- 00:30:00user gets the task at the same
- 00:30:04time and um when they have approved the
- 00:30:08document or I can Define when two of
- 00:30:10three have approved the document then I
- 00:30:12will get the notification that the
- 00:30:13document is approved in the approval in
- 00:30:17the case of an approval they have two
- 00:30:19possibilities approve or reject the
- 00:30:22document with a notification the same
- 00:30:25serial or parallel uh they only will get
- 00:30:29the notification that the document
- 00:30:31exists so but I want
- 00:30:35to get an approval for my document and
- 00:30:38we can then set for
- 00:30:41example William Johnson or Elena let's
- 00:30:44take Elena Elena Rodriguez and then we
- 00:30:48want Daniel
- 00:30:50Cooper and then we
- 00:30:53want William Johnson
- 00:30:58and in this case it's a Serial approval
- 00:31:00so Elena Rodriguez would be the first
- 00:31:02then Daniel Cooper and then William
- 00:31:05Johnson
- 00:31:07parallel as I said everyone will get the
- 00:31:10task in the minute I click on okay in
- 00:31:13the second um I click on okay but it's
- 00:31:17possible to use groups as well I just
- 00:31:20used um users I could add
- 00:31:24the group management for example which
- 00:31:28then will be shalot Bennett Daniel
- 00:31:30Cooper Emily Thompson and the
- 00:31:32administrator and chck Edwards so you
- 00:31:34can use groups as well and when you have
- 00:31:36a group task uh then every user will get
- 00:31:40a task at the same um moment and then we
- 00:31:44can set a time frame when they have to
- 00:31:49uh finish the tasks days hours and
- 00:31:51minutes the thing is you can make sure
- 00:31:54that the task is done in time so we
- 00:31:57could now for example say they have one
- 00:32:01one
- 00:32:03day for um finishing uh the task we can
- 00:32:09exclude weekends cuz we are fair but
- 00:32:11during one day would make sense let's
- 00:32:14give them seven not 71 seven days and
- 00:32:17then we can exclude the week weekend so
- 00:32:20it's just seven work days and when they
- 00:32:23miss the deadline then they will get the
- 00:32:25notification hey you have a task in a
- 00:32:27task section which isn't finished and
- 00:32:30you can Define who gets a notification
- 00:32:33as well so I can say aan Smith myself
- 00:32:38and I would get a notification for this
- 00:32:40so this is how I can make sure that the
- 00:32:43tasks are done in
- 00:32:47time then I click okay and then the
- 00:32:51workflow is started can be seen here
- 00:32:54with this small icon that this document
- 00:32:56has a workflow and when I click on this
- 00:32:59then I can see how the workflow looks
- 00:33:03like so that's the workflow which is
- 00:33:05created um we can change it to list view
- 00:33:08as well which is a little bit more gives
- 00:33:11you a better better overview so we see
- 00:33:14okay Elena Rodriguez um has received it
- 00:33:17Daniel Cooper will receive it and
- 00:33:19William jnes will receive it um as
- 00:33:22well so that's how you start a workflow
- 00:33:25which just takes a few seconds uh in my
- 00:33:28case it takes some minutes cuz I have to
- 00:33:30explain what to
- 00:33:32do and how would this look like on the
- 00:33:36side of the user who gets a task for
- 00:33:42this can see here so we're logged in as
- 00:33:45Daniel Cooper and in the task
- 00:33:49section there should be a task for this
- 00:33:51the approval for the project
- 00:33:54documentation um and then we can
- 00:34:04approve or reject the document we should
- 00:34:06preview it in the in the first part but
- 00:34:09that's the possibilities we have during
- 00:34:11an approval uh process notification
- 00:34:15there would only be uh the the
- 00:34:17possibility to say okay I have seen the
- 00:34:20document and that's it but in this case
- 00:34:22approval I can approve the document or
- 00:34:24reject the
- 00:34:25document and as I said earlier in case
- 00:34:29of more complex workflows you can create
- 00:34:32a workflow template for example when
- 00:34:35it's uh that uh when it comes to um a
- 00:34:40contract which has to be sent to a
- 00:34:43customer um then the the the process can
- 00:34:48be more complex than the standard
- 00:34:49process which I showed you now for this
- 00:34:52um you can use a so-called workflow
- 00:34:55template which is defined once and you
- 00:34:57can reuse it every time or you can um
- 00:35:02you can use it when a document with a
- 00:35:05specific metadata form is filed in the
- 00:35:08repository then the workflow starts
- 00:35:09automatically for an example so that's
- 00:35:14those are the basic features uh file
- 00:35:16documents with metadata in the structure
- 00:35:20um and uh search for documents easy
- 00:35:23collaboration with the document feed and
- 00:35:27um Auto aut atic processing of the
- 00:35:29documents with ad hog workflow or
- 00:35:31workflow
- 00:35:34templates but there's
- 00:35:38more cuz those are just
- 00:35:43the core features of the lism with
- 00:35:47capturing documents storing the central
- 00:35:49repository search and retrieve them
- 00:35:51streamland and automate processes
- 00:35:53simplified collaboration secure filing
- 00:35:55location and um autom metod tasks and
- 00:35:59processing uh but there are more
- 00:36:01possibilities to to extend the
- 00:36:04functionality expand the functionality
- 00:36:07of the U CM suite for example when you
- 00:36:10want to use a so-called Business
- 00:36:12Solution so theyo Business Solutions
- 00:36:15nine of them are
- 00:36:17available um they have always a specific
- 00:36:21topic for example ELO contract is for
- 00:36:24contract management ELO invoice is for
- 00:36:27management HR personnel file and
- 00:36:30recruiting a booth um in the HR
- 00:36:33department for personnel files and for
- 00:36:36recruiting uh visitor visitor management
- 00:36:39meeting for meeting management and so on
- 00:36:42so uh they have a specific topic and
- 00:36:46well uh when you use for example elu
- 00:36:49contract uh then you get um some things
- 00:36:53for contract
- 00:36:55management the common feature of the
- 00:36:58business solutions they have a dashboard
- 00:36:59for an overview in case of contracts you
- 00:37:01have a dashboard with contracts in the
- 00:37:03company in case of invoice you have a
- 00:37:05dashboard with invoices in the company
- 00:37:07um HR personal file with the personal
- 00:37:10files recruiting with the job offers and
- 00:37:13the candidates which have applied for a
- 00:37:16job they give you an
- 00:37:19overview you have predefined forms which
- 00:37:23are prepared and included as well with a
- 00:37:26metadata in it as a form uh and you can
- 00:37:30use them as they come or if you want to
- 00:37:33change them then you can customize them
- 00:37:35as you need
- 00:37:39them they Business Solutions come with
- 00:37:42workflows which are prepared and
- 00:37:44included as well and of course you can
- 00:37:46customize them for your needs uh but the
- 00:37:49process is well let's say predefined you
- 00:37:52could use it if you want to or you can
- 00:37:54change it if you need to
- 00:37:58all Business Solutions are customizable
- 00:38:01for your needs um starting from the
- 00:38:03forms the dashboard the
- 00:38:06workflows
- 00:38:08um what's happening afterwards you can
- 00:38:10export some things you can import some
- 00:38:13things so they are customizable for your
- 00:38:15needs um and they are uh responsive so
- 00:38:21you can use them on your computer on
- 00:38:22your tablet and on your smartphone uh
- 00:38:25for accessing uh the functionality of
- 00:38:29the proper Business
- 00:38:32Solutions so as I said nine different
- 00:38:35Business Solutions contract management
- 00:38:37Knowledge Management digital personal
- 00:38:40files invoice management Learning
- 00:38:42Management with ELO learning um where
- 00:38:45you can manage the e-learnings in your
- 00:38:46company recruiting management visitor
- 00:38:50management records management that's for
- 00:38:52public sector and then meeting
- 00:38:54management as well they're ready to use
- 00:38:57can use them as they come or you can
- 00:38:59customize them as you need
- 00:39:04them another thing is you can integrate
- 00:39:07the Elms within your existing EOP or CRM
- 00:39:12uh so for example when you have a neop
- 00:39:15in your company like Microsoft business
- 00:39:18Central or something or sap then uh you
- 00:39:21can integrate ECM functionality in your
- 00:39:25EOP would look like this you have a pain
- 00:39:29or something uh where you then have
- 00:39:32access to the documents related to uh
- 00:39:37the object which you have opened in your
- 00:39:39EOP in your CRM when it's a when it's a
- 00:39:43a customer uh when when you're looking
- 00:39:45at the customer data then you can see
- 00:39:48all the documents related to this
- 00:39:50customer for example and that's
- 00:39:53integration in your EAP or CRM you don't
- 00:39:56have to leave
- 00:39:58uh the the application because it's in
- 00:40:01there and you can access it from
- 00:40:03directly from your
- 00:40:05application and there are some
- 00:40:07Integrations available um in standard so
- 00:40:12either for SharePoint for example or
- 00:40:13business Central abas EOP sap
- 00:40:16businessman sap um sap clouds e for
- 00:40:20Salesforce e for smart Wei or an
- 00:40:22individual integration the amount of EOP
- 00:40:26or CRM um um systems we support gets
- 00:40:32bigger and bigger so it grows and grows
- 00:40:34and when you have an individual um
- 00:40:36application then we can integrate it as
- 00:40:39well so that's integration to access the
- 00:40:43documents related to uh the object which
- 00:40:46you have opened in your application
- 00:40:48directly from your
- 00:40:53application you can use the LMS Within
- 00:40:56combin with artificial intelligence for
- 00:40:59example when it comes to invoices to um
- 00:41:02analyze the invoice is it an invoice do
- 00:41:05we have an order for this or something
- 00:41:07like this or you can use it for a
- 00:41:09contract as well would work like this
- 00:41:11you file a document in the repository
- 00:41:14and then the process starts
- 00:41:16automatically scans the document for the
- 00:41:19information and then the document um is
- 00:41:23classified as my example a contract for
- 00:41:26example and then the information is
- 00:41:29filtered um automatically marketing
- 00:41:31department is responsible for this uh
- 00:41:34contract and the start date will be the
- 00:41:371st of May
- 00:41:392024 so artificial intelligence helps
- 00:41:42you to not only classify the document
- 00:41:45but fill in some uh metadata information
- 00:41:48and then maybe start a workflow or or do
- 00:41:51some other stuff which is necessary
- 00:41:54necessary for in my case a contract
- 00:42:00so that's the ls with the foundation for
- 00:42:04your digital future you can use the core
- 00:42:08features as we saw in the live demo of
- 00:42:12filing a document uh store them in the
- 00:42:15central repository streamline an
- 00:42:17automate processes search and retrieve
- 00:42:19the documents and save 33 hours a month
- 00:42:23U manage documents and information and
- 00:42:26simplify the collaboration by using the
- 00:42:29document feed but there's more you can
- 00:42:33um use it in combination with a business

- 00:44:10happened to the document in the past
- 00:44:12because uh the document Fe feed is
- 00:44:14accessible for every user who who has
- 00:44:17access to the document as
- 00:44:20well uh you can use the Integrations for
- 00:44:24maximum efficiency you can use it for
- 00:44:26getting an overview what has happened
- 00:44:28with the customer uh Which documents
- 00:44:31have been created which information is
- 00:44:33available for for this customer and
- 00:44:35every time something is created in the
- 00:44:38context of the customer um it is filed
- 00:44:41in the repository and then you have
- 00:44:43access to it with your leading
- 00:44:47application you can expand the
